E-mail Policy

I. Definition
E-mail Quota- An E-mail quota is the predetermined size limitation of total e-mail messages kept on the server for each subscriber.

II. Policy
Dynamic Consulting has had and will continue to have an E-mail quota policy. Our new E-mail server will have the following quota policy:

1. The soft quota for all mail is 4 megabytes.
2. The hard quota is 4.1 megabytes.

III. Policy Explanation
A large single message or an accumulation of messages may put an E-mail subscriber over quota. If a large (over 4 megabytes) single message puts the account above quota, the message will bounce to the sender with the message, "undeliverable." The sender will be advised to send a smaller message. This immediate bounce of oversized messages is different than Dynamic's previous policy that would try to deliver the mail up to 5 days.

IV. How to Avoid Quota Problems

1. Check E-Mail often. This will remove messages from the server and prevent an accumulation of messages.

2. Make sure that the program you use to check your E-mail is NOT set to leave a copy of your mail on the server.

3. Discourage senders from sending E-Mails with large attachments (ie: pictures, graphics, greeting cards, etc). These attachments will quickly fill up your mail quota and will take a lengthy time to download.
